Hosting and server log files
This website is hosted by Vercel Inc. When the website is accessed, the hosting provider automatically processes access data in server log files. These include in particular the IP address, the date and time of the request, the address requested, the HTTP status code, the volume of data transferred and details of the browser and operating system.
This processing is technically necessary in order to deliver the website, ensure its stability and security and prevent misuse. The legal basis is Art. 6(1)(f) GDPR. Log data are retained only for as long as is necessary for these purposes.
The processing may involve a transfer to the United States. It takes place on the basis of the data processing agreement concluded with the provider and the safeguards for third-country transfers set out therein.
Project enquiries via the configurator
You can send a project enquiry through the configurator. We process the details you provide yourself: name, company and email address and, if given, phone number, current website, number of locations and your message. In addition, we receive the selections made in the configurator (solution, if chosen, needs, workflows, extensions, language) and, if provided, the one-sentence description of your business and the goals of a Signature project, as well as the time of the enquiry. If you choose Mobile Apps, your answers about the app are added, together with your acceptance of the points before sending, with version, date and time. No tracking or analytics data are collected.
The enquiry is a non-binding request for a personal assessment; it is neither an order nor the conclusion of a contract. The purpose of the processing is to handle your enquiry and prepare this assessment. The legal basis is Art. 6(1)(b) GDPR (pre-contractual steps taken at your request). After sending, you receive a confirmation of receipt at the email address provided.
The enquiry is processed on the servers of the hosting provider Vercel and transmitted to REPOLE by email. Email is sent and received through the Zoho Mail service, using data centres in the EU. The details are deleted once they are no longer required to handle the enquiry and no statutory retention obligations apply.
Your selections in the configurator are held only in your browser's address bar (URL), so that they are kept when you go back or switch language. They are not stored on your device and are transmitted to REPOLE only when you send the enquiry.
Domain & Email requests
On the Domain & Email page you can check a desired domain and send a request for a domain and email mailboxes. To check availability, our servers transmit only the domain name entered to Vercel's domain interface; no other details are transmitted at this stage.
With the request we process the details you provide yourself: the chosen domain, whether you want the domain only or email as well, the number of mailboxes and any additional addresses, first name, last name, email address, phone number and billing address (street, postcode, city, country) and, if given, company, state or region and your message, as well as the time of the request and your acceptance of the points before sending, with version, date and time. No tracking or analytics data are collected.
The purpose of the processing is to handle your request, check availability personally and, if you place the order, register the domain in your name and set up the mailboxes. The legal basis is Art. 6(1)(b) GDPR (pre-contractual steps taken at your request and performance of the contract). After sending, you receive a confirmation of receipt at the email address provided.
The request is processed on the servers of the hosting provider Vercel and transmitted to REPOLE by email; email is sent and received through Zoho Mail, using data centres in the EU. If you place the order, the holder details required for registration are transmitted to the registrar through which the domain is registered and to the registry responsible for the extension; the mailboxes are set up with an email provider using servers in the EU.
The details are deleted once they are no longer required to handle the request. If a contract is concluded, they are kept for the duration of the contract and beyond that only where statutory retention obligations apply.
Call-back requests to REPOLE Persönlich
With the form on the REPOLE Persönlich page you can request a call back. We process the details you provide yourself: name and phone number and, if given, email address, who the help is for (yourself or a family member), what it is about, how you would like help and your request. We also record that you accepted the points before sending, with version, date and time, as well as the time of the request. No tracking or analytics data are collected.
If you ask on behalf of a family member, we also process the details you give about that person, solely to handle the request. Please give only what is needed for the call back and let the person concerned know.
The purpose of the processing is to call you back, clarify your request and prepare a quote. The legal basis is Art. 6(1)(b) GDPR (pre-contractual steps taken at your request). If you gave an email address, you receive a confirmation of receipt listing the points you accepted.
The request is processed on the servers of the hosting provider Vercel and transmitted to REPOLE by email; email is sent and received through Zoho Mail, using data centres in the EU. The details are deleted once they are no longer required to handle the request. If an order is placed, they are kept for its duration and beyond that only where statutory retention obligations apply.
Contact by email
If you write to us directly by email, the details it contains are processed in order to deal with the enquiry. The legal basis is Art. 6(1)(b) GDPR where the enquiry is directed at a contract, and otherwise Art. 6(1)(f) GDPR. The details are deleted once they are no longer required and no statutory retention obligations apply.
Statistics without cookies (Vercel Web Analytics)
To understand which pages are visited, we use Vercel Web Analytics from our hosting provider Vercel. No cookies are set and no information is stored on your device. The page visited, the referring page, the time of the visit and the device type, browser, operating system and country are recorded. Visits are grouped only by an anonymised value that is recalculated every day and does not allow a visitor to be recognised across several days.
The data are evaluated only in aggregated form; nothing is attributed to individual people. The script is served from this server and no third-party content is loaded. The legal basis is Art. 6(1)(f) GDPR; our legitimate interest is improving our service. For processing by Vercel, the information in the hosting section applies, including a possible transfer to the United States.
No cookies, no tracking, no external content
This website sets no cookies and uses no tracking services; the cookie-free statistics are described in the previous section.
The only thing stored on your device is a technical note in the browser's session storage (sessionStorage): it records that the opening animation has already been shown in this session, so that it is not repeated on every page. The note contains no personal data, is not transmitted to us and is deleted when the browser window is closed. This storage is strictly necessary to provide the website you have requested (§ 25(2) no. 2 TDDDG); consent is therefore not required and no consent banner is used.
No fonts, maps, videos, social media elements or other third-party content are loaded at runtime. All fonts are served from this server.
Your rights
Data subjects have the right of access (Art. 15 GDPR), rectification (Art. 16 GDPR), erasure (Art. 17 GDPR), restriction of processing (Art. 18 GDPR) and data portability (Art. 20 GDPR).
Where processing is based on Art. 6(1)(f) GDPR, there is a right to object under Art. 21 GDPR. Independently of this, there is a right to lodge a complaint with a data protection supervisory authority (Art. 77 GDPR). The authority responsible for REPOLE is the Landesbeauftragte für Datenschutz und Informationsfreiheit Nordrhein-Westfalen (State Commissioner for Data Protection and Freedom of Information of North Rhine-Westphalia).
Data security
The website is delivered exclusively over an encrypted HTTPS connection.
